Selling with WhatsApp Business: The SMB Playbook

Why WhatsApp

In Türkiye customers do not send email; they send WhatsApp messages. That is habit rather than preference, and the answer is to build around it instead of resisting it.

WhatsApp’s advantage is the read rate. A message you send is almost certainly read — the equivalent figure for email is far lower. Its disadvantage is disorder: a chat inbox is not a system you can work on.

That is exactly what this article is about: turning WhatsApp from a messaging app into a sales channel.

Start with the right app

There is a serious difference between personal WhatsApp and WhatsApp Business, and Business is free.

Business profile. Address, opening hours, website link, short description. The customer sees who you are without saving your number.

Catalogue. List your products and services with prices. It saves you sending a PDF every time someone asks for a price list.

Quick replies. Bind your most frequent answers to shortcuts. Shipping times, opening hours, directions — do not type these ten times a day.

Labels. Tag conversations as quoted, awaiting payment, completed. It is the closest thing to a CRM inside WhatsApp itself.

Automated messages. An away message and a greeting. Telling a customer who writes at midnight when you will reply is what keeps them.

Connect it to the website

WhatsApp is not a standalone channel; it is an extension of your site. Build three connection points.

wa.me links. Every WhatsApp button on your site should open with a pre-written message containing which page it came from. The customer does not have to compose an opener, and you know the subject in advance.

A floating button. A button fixed to the bottom of the screen on mobile raises conversion measurably.

Post-order notifications. Order received, being prepared, dispatched. This builds confidence and reduces “where is it?” calls.

A caution: do not use these threads for bulk marketing. Unsolicited mass messaging can end with your number being blocked.

WhatsApp is not a CRM

This is where the most common mistake happens. Running quote follow-ups out of a chat inbox collapses the moment the business grows.

In a team of three there is no answer to “who told this customer what?” — the conversation lives on the phone of whoever replied. When that person leaves, the history leaves with them.

The right setup: WhatsApp is the communication channel, the record lives elsewhere. Incoming enquiries should land in a form or a CRM, and follow-up should run from there. At small scale that can be a spreadsheet; what matters is that a record exists outside the chat.

For growing businesses, the WhatsApp Business API lets several agents work from one number and connects conversations to a CRM. Once the team passes three people, consider that step.

Measure it

A business that does not measure WhatsApp traffic cannot know whether the channel works.

Tag clicks on the WhatsApp buttons as events in Analytics. How many clicks a month, and from which pages — those two figures show which page is actually selling.

Keep a simple count as well: of the messages received, how many turned into quotes and how many into sales. Without knowing that ratio you cannot decide how much time WhatsApp deserves.
